What is the Computer Refresh Program?

YSU has adopted a 5 year (Windows)/ 6 year (Apple) computer refresh program. The intent of this program is to ensure the availability of well functioning standard devices sufficient to the needs of YSU students, faculty, staff and to some extent, contract compliance.  

Approaching the expected replacement date of the device issued to you, you will be contacted by the IT Services to discuss your options for obtaining a new computer or you can submit a request Hardware Computer Replacement/Refresh to initiate.  During the call or email, the IT associate will ask you for the following information:

  1. TS Tag number of your current device
  2. Replacement device are you selecting.  See the YSU Standard Issue Computer Models article*.
  3. Specialty software, shortcuts and bookmarks used on your device
  4. Office location and preferred days of the week (morning or afternoon) to replace your computer
  5. You will be contacted to schedule a specific time to install your new device.

Things to Do before Your New Computer Arrives

You are responsible for moving all electronic work product (data files) to a University network drive.  Data stored on the network is backed-up by the University and secure.  Network storage facilitates a rapid computer exchange when your new computer arrives in your office.  Please see the instruction sheet for directions to move your files or contact the IT Service Desk at x1595 for assistance.

If you have personal files on your device, plan to move them to another storage device.  Personal files should not be transferred to the YSU network per Policy 3356-4-09.2 Storage of electronic data for information. 

Y Drive  – 50 GB, Encrypted (secure), available on campus automatically; VPN access off campus;  Departmental share is useful for collaborative (shared) documents. The YSU Y Drive is being phased out in favor of OneDrive online storage. All users should backup local computer files to OneDrive

Microsoft OneDrive – 1 TB, Cloud storage, File synchronization with desktop; available on YSU machines & in Office 365.  Enrollment in Multi-Factor Authentication is a pre-requisite for securely storing data on OneDrive. MFA Information

Additional details

Non-standard devices or accessories will result in additional department costs and require financial manager’s approval.  

Hard drives from old PCs will be kept for 30 days upon removal and can then be trashed/crushed.
