Microsoft Stream: Sharing Your Videos

Question

How can I share my video?

Answer

After you have created or uploaded a video to your Microsoft Stream account, you can manage access to the video. For example, you may want to post your video in Blackboard as part of your course material. Another example would be publishing your video for an audience outside of YSU. Let's take a look at some of the sharing options.

  1. Navigate to your Microsoft Stream Account. The easiest way is through office.com or by clicking the Microsoft 365 tile in the Penguin Portal. If prompted, please enter your ysu.edu email address and password to log in. Click the 4-square menu at the top left. Select Stream. Note: If you do not see Stream, click All apps to locate Stream in the app list (alphabetical order).
  2. Once you are at the Stream dashboard containing your videos, browse for the video you would like to share. If you do not see your video listed, use the function at the top that says Search my files.

  3. Once you are on the video page, click the Share button at the top right, and then click Share on the menu.

  4. The default setting is that anyone with a YSU account who clicks the link can view your video. Click Copy link to copy the link to your system clipboard and paste it wherever you need to. This can be in Blackboard, in an email, a web page, etc. When the audience clicks the link, they will be prompted to log in to their @ysu.edu account if they aren't already logged in. Alternatively, you can click the gear icon next to the Copy link text to further adjust these parameters. Also at this screen, you can send an email to any name, group (Team name), or YSU email, and the email will contain a link to the video along with your customized message.
Here is the menu that appears if you click the gear icon:

Here is a quick breakdown of each setting:
    1. Anyone: This will allow anyone who clicks the link to view your video. Please note, this link will expire, and you will receive an email prompting you to renew it. Please be mindful of this for any videos posted for public viewing.
    2. People in Youngstown State University: This is the default setting. When the link is clicked, the system will check to see whether the individual is logged in with a YSU account.
    3. Only people with existing access. This is by way of OneDrive, you can ignore this setting for the purpose of video publishing.
    4. People you choose. This setting will lock the video access down to only people at YSU whom you specify.
    5. Can view is the default setting for rights to the video. It is recommended to leave this setting as is in the context of publishing your video.
    6. You can set an expiration date for your video link. Videos set so that anyone can view them are automatically given an expiration date of 1 year.

Click Apply to save your changes. You will then be taken back to the previous screen where you can click Copy Link to obtain your link. The link does not change, regardless of setting.
