How to create a signature in Outlook or Outlook.com?

Answer

Your email signature provides your recipients with your contact details (your phone number and email address, your company's website and active social media accounts, etc.).  Log into LinkedIn Learning to watch a video to explore creating a signature.

Create an email signature in Office 365:

  1. Sign in to Outlook.com.

  2. Select Mail >New Mail.

  3. Under Email signature, type your signature and use the available formatting options to change its appearance.Add a signature using the pencil icon on the message tab in the ribbon

  4. Select Signatures from the drop down menu.

  5.  Add a name for the signature. Type the desired signature information in the box as shown below.

Note: 

  • If you want your signature to appear at the bottom of all new email messages that you compose, include the named signature in the For New Messages box.

  • If you want your signature to appear on messages that you forward or reply to, select the named signature in the For Replies/Forwards box.

  • If you don’t select these options, you can manually add your signature to a selected message. For details, see Manually add your signature to a new message.

  1. Select Save when you're done.

    Note: You can always return to the Compose and reply page and select or clear the check box for automatically including your signature.

Manually add your signature to a new message

If you've created a signature, but didn't choose to automatically add it to all outgoing messages, you can add it later when you write an email message.

  1. Go to your mailbox and choose New message.

  2. Type your message, and then choose More actions > Insert signature at the bottom of the compose pane.

  3. When your email message is ready, choose Send.

Add Email Signature using Outlook Desktop App

  1. Open the Outlook desktop app.
  2. In the upper left corner, click the File option.
  3. In the left navigation bar, click Options > Mail > Signatures

  1. Click the New button to name the signature. Enter the signature into the box below.
  2. Select the default signature option on the upper right corner to Choose default signature include a signature in New Messages or Replies/forward.

  1. Click  OK in the Signature and Stationery box, then OK in the Setting box.
