Course Leaf SYL: How to Approve a Syllabus for Department Chairs

Question

As a department chair, how do I edit, roll back, or approve syllabi that have been submitted for approval?

Answer

           As a department chair, you are responsible for reviewing and approving syllabi once they are submitted.

          You have three options during the review process:

          Edit the syllabus if only minor revisions are needed.

          Return the syllabus to the author if more substantial changes are required.

          Approve and publish the syllabus once it meets all requirements.

          Follow the steps below to accomplish this task:

2. Navigating to the Syllabus for Approval

            Use the following steps when a syllabus has been submitted and is awaiting review in the approval work flow

            1. Select the Work flow tab to display available work flows.

            2. From the Role drop down menu, select your role or position.

            3. From the Type drop down menu, select Syllabus.

            4. Select the syllabus from the list to begin the review process

3. Department Chair Approval Page

            1. After selecting a syllabus for approval, you will be taken to the Department Chair Approval Page.

            On this page, you can review the full syllabus with any changes clearly marked:

            Additions appear in green text

            Deletions appear as red text with strike-through

           1a. Once you have finished reviewing the syllabus, you will have three available actions:

           Edit – Make additional changes to the syllabus

           Rollback – Revert the syllabus back to the submitter for changes

           Recommend – Approve the syllabus and publish the syllabus

           Each of these options is explained in detail in the following sections.

     4. Edit Option

          The Edit option allows the approver to make changes directly to the submitted syllabus.

          When you select Edit, the system opens the submitted syllabus in an editable view.

          The approver can then make any necessary updates or corrections.

         After completing edits:

         Return to the previous approver page (Department Chair Approval Page). 

         Choose one of the following actions:

         o Rollback the syllabus, or
         o Recommend the syllabus.

         Note: Using Edit does not approve the syllabus in the work flow. Editing only updates the content.

        The approver must still take an action (such as Recommend/Approve).

    5. Rollback Option:

      The Rollback option returns the syllabus to the submitter (or a prior participant) for revisions.

      When you select Rollback:

     1. A comment box appears.
     2. The top section of the comment box lists all individuals who have previously acted on the syllabus.
     3. Select the person to whom the syllabus should be returned.
     4. Enter a required comment explaining the reason for the rollback.
     5. Select Rollback to complete the action.

     After you submit the rollback, the syllabus is sent back to the selected individual (typically the submitter) to make the
     requested changes.

     6. Recommend Option

        The Recommend button is used to approve the syllabus and publish it.

        When you select Recommend:

        1. The system records your approval.
        2. The syllabus advances to the publishing stage.
        Note: If you select Recommend after making changes using Edit, the syllabus is sent forward to be published.

       Once you get the “Approved” page after selecting recommend as shown below , You’re Done!
