How do I use YSD?

Answer

YSD is intended to provide external users a secure way to upload documents containing sensitive information. This process was improved in 2024, to provide document transfer through Microsoft to a  department's SharePoint site. 

NOTE:  If document uploads are needed from both external users and internal YSU students, faculty and staff, then Secure Document upload can be utilized.

NOTE:  If document uploads are needed from only internal YSU students, faculty and staff, then usage of Microsoft Forms is encouraged.  

 

To Use

  1. There are options to direct users to the Secure Upload site:

  1. Enter the following:

  • Sender’s email address
  • Subject
  • Message for the recipient
  1. Drag the document to the document box or click to locate the document on your computer.

  2. Click Submit. The status of the submission will appear on screen.

  3. Once submitted, a confirmation email is sent to the sender.

  • YSU Departments can also receive a confirmation email if they choose to OPT-IN to this functionality.

General Specifications:

  • Each successful upload action creates one folder within the Microsoft SharePoint site.  This folder will house all documents uploaded in that action.  
  • Secure documents are uploaded to a YSU department’s Teams channel (File Folder)
  • File size limitations are 25 MB
